How to Buy From Us

Contracting Nautilus is straightforward. We help defence and government buyers identify a suitable route to procure specialist simulation and training services.

Routes to contract

Existing Contracts or Frameworks

Where an existing contract or procurement framework permits the requirement, contact us to confirm the available contracting route. Your commercial or procurement team can advise on eligibility, scope and the appropriate tasking or call-off process.

Request to Purchase / Low Value Purchase

For suitable lower-value requirements, your commercial or procurement team may be able to use a Request to Purchase or Low Value Purchase route, subject to your organisation’s procurement rules, delegated authority and applicable thresholds. Contact us with your requirement so we can provide a quotation for your team to assess.

Through a prime contractor

Where your programme has an established prime contractor, Nautilus can discuss delivery as a specialist partner.

International customers

We welcome enquiries from NATO allies and partner forces and can discuss appropriate commercial and export compliance routes.

What happens next

1. Tell us the requirement

Start with an exercise name, proposed dates and an events list, or share an emerging training need or developed Statement of Requirement (SOR). Tell us the training audience, objectives, intended outcomes, location, timescales and any known resource considerations.

You do not need a complete specification. Our specialists can attend planning conferences, work with your exercise planning team and help refine scenarios, deliverables and support arrangements. Together we identify the information needed to progress your requirement towards a clear, achievable proposal.

2. Confirm scope and procurement route

We review the requirement with your commercial, training and procurement teams to agree objectives, deliverables, timescales and the appropriate route to contract. Options may include an existing contract or framework, Request to Purchase, Low Value Purchase or another authorised process.

Where helpful, we can support development of your business case by setting out the training need, solution options, expected benefits and indicative costs. This helps establish a shared understanding of scope, responsibilities and commercial arrangements before the proposal stage. Procurement decisions and approvals remain with your organisation.

3. Develop a proposal

We develop a proposal against the agreed requirement, setting out the proposed training solution, scope of support, delivery approach, milestones and indicative resource needs. Where appropriate, it can describe the simulation environment, specialist personnel, planning support and intended training outputs.

We work with your team to test assumptions, clarify dependencies and identify practical options that meet your objectives and budget. The resulting quotation and supporting documentation provide a clear basis for commercial review, internal approval and any necessary adjustments before the requirement is formally tasked.

4. Tasking or purchase order

Once the scope and commercial approach are agreed, your authorised procurement team can progress the appropriate tasking, call-off, Request to Purchase or purchase order in accordance with its own procedures. We provide the supplier information, quotation and supporting documents needed for that process.

Our team can clarify the proposed deliverables, delivery schedule, assumptions and commercial terms with the relevant stakeholders. We do not treat an informal discussion or planning request as authority to commence chargeable work; formal authorisation must be confirmed before delivery begins.

5. Confirm order and contract references

Before work begins, we confirm the authorised contract or framework reference and any applicable requisition number, order number, purchase order number or Commercial X reference required by the customer. We also confirm the named points of contact and the agreed scope of work.

These details support clear tasking, accurate records, invoicing and subsequent commercial reconciliation. If a reference or approval is outstanding, we work with the customer’s commercial and procurement teams to resolve it before proceeding. This helps prevent avoidable delays and misunderstandings during delivery.

6. Delivery and review

Our specialists deliver the agreed simulation or training support against the authorised requirement, with planning, coordination and technical support appropriate to the activity. We maintain communication with the customer’s nominated training and commercial representatives as delivery progresses.

At the end of the activity, we review the agreed outputs, training outcomes, lessons identified and any follow-on needs. Where included in the scope, we provide a post-exercise report or supporting delivery records. This closes the loop between the original requirement, the delivered service and evidence of value.

Assurance checks

We can support proportionate supplier assurance and due diligence as part of your procurement process. The checks required will depend on the contracting route and the customer’s policies.

Company and supplier verification

Confirm legal entity details, supplier identifiers, invoicing arrangements and the information required for supplier onboarding.

Quality and delivery assurance

Discuss relevant quality management evidence, scope of services, delivery plans, personnel competence and acceptance criteria. Current certification evidence can be supplied for verification where applicable.

Cyber and information handling

Agree proportionate cyber, data protection and information handling requirements with the customer. Supporting evidence is available through the appropriate procurement channel.

Commercial and contractual checks

Confirm the statement of requirement, quotation, applicable terms, purchase order or framework route, and any required insurance or compliance documents before tasking.
